The Do's and Don'ts of Quoting Custom Labels

Offering custom labels is a powerful way for label distributors to grow their business, improve margins, and build lasting loyalty. 

When a customer comes to you with a special request, it’s your chance to position yourself as a label expert who can solve their unique problems. If that seems like a lot of pressure, don’t worry — you don’t have to navigate it alone.

When it comes to custom labels, there are many variables that can influence the cost, production and performance of the final product.

Without all the necessary information from your customer upfront, you risk miscommunication, costly rework and unnecessary delays that can damage customer relationships. 

First, we recommend asking questions about the label’s application: 

  • What is the label's purpose?
  • What kind of surface will the label be applied to?
  • Will the product be stored outside or inside?
  • Does the label need to be permanent or removable?
  • Will the label be exposed to extreme temperatures (hot or cold) at any point in the process, including transportation and storage?
  • Will the label be exposed to water, soaps, solvents, oils or other chemicals?

The answers to these questions can have a significant impact on both the accuracy of the quote and the materials we recommend for the best label performance. 

Next, make sure you understand when and how your customers intend to print on their custom labels. 

  • Will they print on the label or should it arrive pre-printed?
  • What type of printer will they use: laser, inkjet, dot-matrix, direct thermal, or thermal transfer? Ask about the exact make and model of the printer.
  • Will the label need to be pre-printed with logos, color bars, or other graphics?
  • Do they have artwork and color specs ready?

With custom labels, “close enough” doesn’t cut it. Be sure to confirm your customer’s required specifications, including: 

  • What label size and shape do they need?
  • Do they need the labels in sheets, fanfold, or rolls?
    • If your customer needs the labels in rolls, what are the inside and outside diameters?
  • Is this a one-time custom label purchase, or a recurring order on a monthly, quarterly, or annual basis?
  • Target price point (if they have one)

Again, the more specific details you can get upfront, the smoother the quoting process will be! 

DON’T Skip the Sample

Is your customer working from an existing label? If so, ask them to provide samples. Find out if there are any issues with their existing label, or if they have any changes or improvements in mind. 
When quoting custom labels, even the smallest details can make all the difference. We all know what they say happens when you assume — it’s just not worth it!
