Simplify Employee Immunization Management for flu season

The E.V-Trax™ employee vaccination tracking system enables organizations to electronically track the administration and details of employee immunization programs. E.V-Trax eliminates paper forms and manual data entry, and provides accurate, up-to-date information on the status of employee vaccinations.

E.V-Trax utilizes a handheld computer equipped with a barcode scanner, magnetic stripe reader, and special software to collect and manage employee immunization information at the time the vaccines are administered, whether it's at the facility or at off-site locations. Customized screens on the handheld computer take the caregiver through each step of the process, assuring all information is properly collected and updated, including tracking for allergy, medical or spiritual exemptions. Vaccine manufacturer and lot information can also be tracked to the individual employee and administration date, time and location.

Once information is collected on the handheld computer, it is then uploaded into an SQL database, where analysis or reports can be generated, or the data can be passed to your human resource management system (HRMS).

Vaccination Workflow, with and without E.V-Trax

Without E.V- Trax

1. A program to administer influenza vaccinations is implemented. Caregivers are supplied with paper forms to manually record names, dates, and times of employee vaccinations.

2. At point of administration, caregivers rely on a printout of employee data and the employees recollection to determine immunization status. Discrepancies between what the printout shows and what the employee says occur, and cannot be reconciled.

3. After the vaccinations are administered, all of the paperwork (including vaccination records, exemptions, and discrepancies) is sent to corporate HR to be manually entered into the system. This takes time, and is subject to keystroke errors.

4. As the data entry, which must be completed manually, from the first round of shots has not been completed and reconciled, visibility is lost on which employees have been vaccinated.

5. An influenza outbreak in your facility occurs. As you do not have accurate and reliable information on the vaccination status of your employees, large-scale quarantines and facility closures must be ordered to contain the outbreak.

With E.V-Trax

1. A program to administer influenza vaccinations is implemented. Caregivers are equipped with E.V-Trax handheld computers pre-loaded with employee vaccination status and data.

2. At the point of administration, caregivers scan the employee badge to bring up the employee record on the handheld computer. The caregiver reviews the data with the employee and asks for consent.

3. If consent is given, a box is checked on the E.V-Trax handheld computer. If an exemption is requested, this is also recorded on the handheld computer, and the proper forms are administered and signed.

4. The caregiver then scans the barcode on the vaccination, and proceeds to administer it to the employee. Time, date and location are automatically recorded.

5. Once all vaccinations are complete, the caregiver securely uploads the data from the E.V-Trax handheld computer to the central database. Nightly reports can be run to analyze the vaccination program's progress, and employee records in HRMS system can be automatically updated.

6. As the organization has up-to-date information on the status of employee vaccinations, a simple report can be generated to pinpoint the employees that have already received a vaccination.

7. An influenza outbreak in your facility occurs. You can immediately identify which employees are properly vaccinated and which ones are at risk. You can then strategically and proactively isolate and contain the outbreak without significant disruptions, large-scale quarantines or facility closures.
